How Projects Work

A project is one website. It holds its own Brand Profile, integrations, documents, keywords, and measurement data, and switching projects switches all of that at once.

A project is one website. If you write for three brands, you have three projects.

What a Project Contains

Everything that is specific to a website:

  • Brand Profile. Business details, services, audience, competitors, tone, visuals, voice, and author.
  • Integrations. The CMS and analytics connections for that site.
  • Documents. The articles written for it.
  • Keyword lists and topic clusters.
  • Content Calendar and Autoblog schedule.
  • Performance, AI Visibility, and Site Audit data.
  • URL Library.

Switching project switches all of it at once. This is why an empty-looking page is usually a project problem rather than a fault.

Use the project switcher at the top of the sidebar, labelled Switch Workspace. It offers moving between projects, Add project, and Manage projects.

Extra projects can be added to any plan for $15 a month each. Each extra project includes 500 credits a month, which roughly covers the automated audit and visibility refresh that project will draw.

Projects are Not Workspaces

These are different levels, and mixing them up causes most of the confusion people have with the product.

A workspace is who is involved and who pays. It has members, roles, a subscription, and a credit balance.

A project is one website inside a workspace.

An agency workspace with eight client projects is one subscription, one credit balance, one set of members, and eight separate brand profiles.

One Project per Website, Not per Topic

A common mistake is creating a project per content theme or per campaign. Do not. A project is tied to a website, its sitemap, its integrations, and its search data.

If you want to organise content within a site, use topic clusters, keyword lists, and the content calendar. All three live inside a single project.

Credits are Shared

Credits belong to the workspace, not the project. Eight projects draw from one balance, so a busy project can consume credits another project was going to need.

Per-member credit limits are the tool for controlling this on a team, since limits are per person rather than per project.

Archiving

Projects can be archived rather than deleted. An archived project keeps its documents and data, and stops appearing in your active list.

Notes

Project access is per person on team accounts. Someone with access to one project out of five sees only that project's documents, brand profile, integrations, and measurement data. This is what makes agency use workable.

Each project needs its own integrations. Connecting WordPress for one project does not connect it for another, because they are different websites.
